FUNDING INSTRUCTIONS
Congratulations!
You have been awarded a PTO grant for the 2024-2025 school year or have a standing line item on the PTO Budget.
Find 2024-2025 School Year annual grant award amounts.
Please send any questions to the Treasurer or the Co-Presidents and we’ll get back to you as quickly as possible!
Instructions for Approved PTO Funding
The funds awarded to you for annual grants, mini grants or in a line budget line item are available for the 2024-25 academic year, beginning July 1, 2024 and ending June 30, 2025.
The deadline to request disbursement of the funds is June 15, 2025.
No disbursements can be made after this deadline. It is encouraged that you submit your request as soon as you are able.
You can only request reimbursement for expenses directly related to your approved grant request and cannot be reimbursed for any amount above your award amount. We cannot reimburse for certain types of expenses, so please check with us ahead of time if you are not sure about whether a certain expense will be reimbursed.
Requests are made by submitting the 2024 – 25 BHS PTO REIMBURSEMENT & INVOICE PAYMENT REQUEST FORM with required documentation (i.e. receipts, invoice, details).
Important Reminder:
BHS PTO has tax-exempt status, so please request this when placing an order whenever possible. Reach out to the treasurer@bhs-pto.org if documentation is needed about exempt status.
Access Your Approved Funds
Ways to disburse funds (note processing times):
- Send an invoice to the PTO to pay (1-2 weeks)
- Ask for a reimbursement (1-2 weeks for PayPal; 4 weeks for checks)
- Request a check to pay a vendor or person (1-2 weeks)
Additional Requirements
These requirements provide opportunities to make families aware of the powerful learning that PTO money supports. Your acknowledgment is our best fundraising strategy to support YOU!
The following items help your PTO celebrate your initiatives and fundraise to provide future grant funding opportunities:
- Acknowledge the funding you’ve received from the PTO:
- On event flyers and announcements by email and live at the event.
- In press coverage your project receives (including in the Cypress).
- During your comments at Back to School Night, etc.
- Submit a brief impact statement and/or illustration of your grant money being used. Submit materials (e.g., photos that don’t show student faces, video, statements, Cypress article, etc.) to copresidents@bhs-pto.org.
- If your grant involves an event, a speaker, or a performance open to the BHS or wider community, please let us know by emailing bhsweeklyblast@bhs-pto.org the time/place at least a week in advance so we can publicize the great work you are doing. The PTO Blast goes out weekly as an email newsletter.
